WFOS Healthcare Edition includes the Auto Assign Jobs feature, which takes the worry out of assigning staffed interpreters based on pre-determined criteria:


       Provider (resources)

       Language (resources)

       Visit Type (priority)

       Department (priority)

Low priority jobs are voided, which can then be serviced via OnDemand remote interpreting.



Maintain Providers (Administration Menu)

Maintain a list of Providers who speak fluently in the requested target language, so jobs can be automatically voided.

·         Go to Maintain Providers

·         Select (+)

·         Enter name, service, and approved language(s)

·         Select Is Active and Close



Maintain Priority Rules

Maintain a list of priority settings to allow jobs to be automatically assigned or voided accordingly.

·         From the Administration menu bar, select Maintain Priority Rules.

·         Select (+) or Edit accordingly.

·         Indicate parameters:

o   Language

o   Visit Type

o   Department

o   Priority

o   Estimated Duration

·         Select Save/Close.

NOTE:  The strongest match will determine action by language, visit type, then department.

Visit Type Department is intended to describe the content of the visit or division of the organization (i.e., Neurology, Pediatrics, etc.).

Department indicates the sector of the division (i.e., Admissions, Consult, Finance, Medical Records, etc.).

Priority – Indicates a numerical value between 1 – 8, with 1 being the highest priority to be assigned.  Values indicated as 7 or 8 will automatically be voided when selecting the auto assign job feature.

Estimated Duration will automatically imply the estimated duration within a new job assignment as default based on the selected Visit Type.

Auto Assignment Jobs

Admin Users have the ability to auto assign jobs based on criteria indicated within Maintain Priority Rules.  The system will automatically assign/void jobs according to the following criteria:

·         Language – determines interpreter resource availability.

·         Provider – determines if interpreter resource is necessary.

·         Visit Type/Department – determines estimated duration and priority.


Processing the Auto Assignment Jobs

·         Filter to the desired date range and parameters within the left-side panel.

·         Select Auto Assign Jobs from the right-side panel.

·         Select Assign Jobs Now.

o   The system will indicate it is assigning jobs while you wait.

o   An Auto Assignment Summary will appear.

o   A confirmation of completion will appear, providing a link to view the batch history.

·         The Admin has the option to UNDO the automation batch by going to the Batch History from the Jobs menu.

·         The revised assignments will be displayed on the job grid.
