Creating a New Interpreter

1.      Select the Add New (+) from bottom right

2.     Complete required data* within each tab (see table below)

3.     Select Save




Profile

Provides overview of interpreter's main details.

Profile picture

Allows interpreter to upload profile picture, which is visible through Admin, Client, and Interpreter portals.

Contact information*

Interpreter’s name, phone number(s), and email address.

Agency

Check if interpreter is considered an agency.

Interpreter Address

 

Address*

Interpreter’s physical address, which determines the distance calculated for mileage.

Timezone

Auto populates once address is saved.

Interpreter Details

 

Interpreter number

Allows assignment of separate internal interpreter identification number, which can then be pulled into custom reports.

Interpreter number expiration date

If applicable, enter expiration date.

Country of origin

Select country of origin (country of birth).

Birth date

Enter interpreter’s date of birth.

Gender*

Enter interpreter’s gender.

Resume

Allows resume to be uploaded.

Qualifications

 

Highest degree

Select interpreter’s highest level of education.

Certifications

Enter interpreter’s certifications.

Specialties

Enter interpreter’s specialties.

Banned

 

Banned by LEPs

If applicable, enter the name of LEP/Consumer(s) that have banned the interpreter.

Banned by Customers

If applicable, enter the name of Client(s) that have banned the interpreter. 

NOTE:  If interpreter is banned from Client profile, it will automatically populate in interpreter’s profile.




Payment Info

Provides overview of interpreter's payroll data.

If applicable, select the interpreter’s group. 

NOTE: Interpreter group drop down is maintained from Maintain Dropdowns menu.

Payroll number

If applicable, enter payroll number.

Prof code

If applicable, enter professional code.

Prof type

If applicable, enter professional type.

Vendor number / AP

If applicable, enter vendor number / AP.

Hours / week

Allows documentation of interpreter’s preferred hours per week.

Rate plan

If applicable, select rate plan.

NOTE: Rate plan drop down is maintained under Maintain Dropdown menu.

Social security number (SSN)

If applicable, enter SSN.

Effective date*

Enter effective date, indicating when interpreter can begin providing services.

Hire date

Enter date of hire.

Status*

Select interpreter status. 

NOTE: Interpreter must be indicated as Interpreter, Translator, or Interpreter/Translator to qualify for services.

Can enter hours

Check if interpreter can enter activities (actuals).

Uses drive time

Check to add drive time padding between jobs.

Grant Interpreter Portal Access

Creates an Interpreter User Profile for the web portal and mobile app, which will send an email notification with login credentials if email template is enabled.

 

Display rate

Indicate average rate to be displayed on Interpreter Card within INTERPRETERS tab of an opened job.  This provides Schedulers a quick reference for anticipated cost.

Provides visibility of rate comments when Scheduler hovers over display rate on the Interpreter Card within INTERPRETERS tab of an opened job.

Mileage cap

Indicate the maximum number of miles the interpreter is willing to travel from the address within the interpreter’s profile and the assignment’s location address.

Allows assignment of interpreter's service capabilities.

Allows interpreter to access to Scheduled OPI job opportunities.

On Demand VRI

If applicable, allows interpreter to access to On Demand VRI job opportunities.

Notes

Provides notes for Administrators to have access to.




Qualification Management

Allows management of interpreter's qualification/credentials, which offset if interpreter appears in interpreter search based on Client requirements.

Expired qualifications

Indicates the number of assigned qualifications currently expired.

Qualifications expiring soon

Indicates the number of assigned qualifications that have an upcoming expiration date. 

NOTE: Reminder notification delivery timing can be adjusted under Qualification Settings within the Maintain Company menu.  The notification message can be adjusted under Reminder emails within the Maintain Email Templates menu.

Missing qualifications

Indicates the number of required qualifications currently considered as missing.

NOTE: Qualification requirement status can be adjusted under the Maintain Qualifications menu.

Allows User to quickly add all missing qualifications, which will then need to be updated with expiration date, documentation/notes if applicable, and approval.

Feedback

Allows tracking of interpreter feedback.

Allows User to add feedback (documentation):

  - Feedback type – Select category (Negative, Neutral, Positive)

  - Incident date – Date of reported issue or date of receipt of feedback

  - Notes

  - Expiration date – Allows documentation of when feedback should not be considered.

  - Feedback score (1 – 10, ten being outstanding)

  - Action – Allows user to attached documentation or remove feedback line




Work Log

Auto populated worklog as interpreter provides services.  



Comments & Notes

Allows custom comments and notes.

Rating 1-5

Allows Admins to rate the interpreter for internal use.  This is considered separate from the client-provided rating upon job submission.

Allows User to review and/or set interpreter's availability, which offset if interpreter appears in interpreter search based on job date/time submission.

Set Your Weekly Hours

Interpreter’s standard daily schedule can be set based on the day and time of the week.

  - Add (+) allows interpreter to imply multiple time slots for a single day

  - CopyImage Placeholderallows interpreter to copy the time slots to other days of the week.

NOTE:  Both Administrators and Interpreters have access to adjust.

Unavailable Days

Interpreter can block specific day(s) they will not be available.  This includes the ability to block specific time periods within a specific day.

NOTE:  Both Administrators and Interpreters have access to adjust.



Rate Overrides

Allows custom rate overrides.  See Maintain Activities; Understanding Cost Rate Overrides article.
All cost rate overrides will be visible from Maintain Activity Rates menu and Interpreter's profile under Rate Overrides.



Calendar

Allows User to review interpreter's current job assignment count.

Allows User to review assignment count by Month, Week, Work Week, or Day.  User can hover over jobs within the weekly/daily view to see details.  Additionally, User can double-click the job to pull the job panel up.
